Connect your accounting system

How to give Forge access to QuickBooks Online, and which QuickBooks plan you need.

Heads up: this article covers software that Forge doesn't own or control. Screens, menus and rules can change without notice, so check the provider's own help docs first. If what you see doesn't match these steps, follow the provider's instructions and let us know so we can update this article.

Forge keeps your books in your own accounting system. You stay the owner. We get accountant access so we can do your bookkeeping, sync your project and cost data, and close each month.

Before you start

  • You need to be an admin on your accounting system.

  • Our email: [email protected]

  • Add us as an accountant, not a regular user. It's free and doesn't use one of your paid seats.

Steps by accounting system

Click your accounting system below.

QuickBooks Online

  1. Sign in to QuickBooks Online.

  2. Click the gear icon in the top right, then Manage users.

  3. Click the Accounting firms tab. Don't use Add user on the first tab. That's for employees and none of the roles there fit.

  4. Click Invite.

  5. Enter Forge Accounting as the name and our email as the email. You don't need a firm ID.

  6. Click Save in the bottom right. QuickBooks emails us the invite and we'll accept it.

QuickBooks lets you add up to two accounting firms. If both slots are taken, remove the one you no longer use first.

FAQ

Which QuickBooks plan do I need?

If you have one award, Essentials is enough. We separate award costs with your chart of accounts. You only need Plus once you have more than one award, because we use classes to keep each project apart. If you upgraded to Plus just for classes and only have one award, you can usually downgrade. Ask us first.

Will you change how my books are set up?

We map your accounts to our standard chart of accounts so your costs line up with your award budget. We'll walk you through any changes before we make them.
